Terms of Engagement
By engaging Docu-Hub Operations Services ("The Agency") for proxy logistics and administrative assistance, you ("The Client") agree to be bound by the following terms. These terms constitute a legally binding agreement regulating the processing and secure transit of your government documents.
1. Scope of Services & Identity
1.1 No Government Affiliation: Docu-Hub Operations Services is a private administrative logistics and proxy firm. We are entirely independent and are not an extension of the Passport, Immigration & Citizenship Agency (PICA), the Registrar General's Department (RGD), the Ministry of Labour and Social Security (MLSS), or any other Jamaican government department.
1.2 Authorized Proxy: By contracting our services, you formally appoint Docu-Hub Operations Services as your "Authorized Bearer" or "Proxy" to navigate bureaucracy, stand in queues, and transact business with the aforementioned government bodies exclusively on your behalf.
2. Fees & Financial Policy
2.1 Administrative Service Fees: Our Service Fee compensates the Agency for professional time, comprehensive pre-submission audits, physical transportation, and logistical execution. Because this fee covers labor already expended, our Service Fees are strictly non-refundable once administrative processing or document audits have commenced.
2.2 Statutory/Government Fees: Statutory fees (e.g., PICA passport renewal costs, RGD print fees) are collected as "Client Funds" and remitted directly to the relevant government agency. Docu-Hub bears no liability for government funds withheld, forfeited, or delayed due to rejected applications or inaccurate client information.
3. Client Obligations & Warranties
3.1 Application Accuracy: The Client is solely responsible for the absolute accuracy of all biographic, genealogical, and legal information provided via our digital intake procedures. Docu-Hub is not liable for government rejections caused by incorrect, omitted, or fraudulent legal information supplied by the Client.
3.2 Original Document Requirements: Where an agency (such as the MLSS or PICA) demands "wet signatures" or physical original documents (such as a damaged passport book or an original death certificate), it is the Client's strict obligation to securely courier these items to our Jamaican office. Failure to provide mandatory physical documents will result in application suspension without a refund of the Agency Service Fee.
4. Limitation of Liability
While Docu-Hub employs premium logistics to expedite your requests, we shall not be held liable for delays, losses, or damages resulting from factors outside our direct operational control, including but not limited to:
- Government Delays: System outages, printing backlogs, or slow processing times by issuing authorities (e.g., PICA machinery being offline, or RGD manual ledger searches requiring extended time).
- Courier Delays or Loss: Delays, loss, or damage caused by third-party delivery services (e.g., DHL, FedEx) when returning finalized documents globally.
- Force Majeure: Hurricanes, civil unrest, extreme weather events, or national emergencies preventing the physical execution of logistics in Jamaica.
By remitting payment and submitting your intake form, you acknowledge that you have read, understood, and agreed to be legally bound by these Terms of Engagement.
